When you submit an inquiry or request a booking, we collect the details you enter, which may include:

- Your requested arrival and departure dates and number of guests
- Any message or trip details you choose to share, including whether you are travelling with a pet
- Booking and stay details if you go on to reserve the property

Like most websites, our host and any analytics or advertising tools we use may automatically record basic technical information such as your IP address, browser type, device type, referring page, and the pages you view. We advertise our property on platforms including Meta (Facebook and Instagram). When we share information
We do not sell your personal information, and we do not share it for anyone else's marketing. We share only what is necessary, and only with:
- The community association and its manager. The Briarwood House sits inside a gated community that requires a guest application for stays. We pass the applicant details needed to obtain that approval.
- Payment processors. Card and payment details are handled directly by our payment provider. We do not store your full card number.
- Our damage protection provider. Booking details are shared to place coverage on your stay, and only if a claim is made.
- Service providers. Our website host, form and email providers, and cleaning and maintenance partners, limited to what each needs to do its job.
- Booking platforms. If you booked through Airbnb, VRBO, or Booking.com, that platform's own privacy policy also governs the information you gave them.
- Authorities, where we are legally required to do so.
How long we keep it
We keep inquiry information only as long as needed to respond to you and, if you book, for the duration of your stay. Booking, payment, and tax records are retained for as long as Florida and federal tax and record-keeping rules require, then deleted.
Your choices and rights
You may ask us at any time to tell you what information we hold about you, to correct it, or to delete it. You may also ask us to stop contacting you. We do not charge for this, and we will respond within a reasonable time. Depending on where you live, you may have additional rights under laws such as the Florida Digital Bill of Rights, the California Consumer Privacy Act, or the GDPR — we honour these requests regardless of where you live.
How to request deletion of your data
To have your personal information deleted from our records, email stay@thebriarwoodhouse.com with the subject line "Data deletion request" and tell us the name and email address you used. We will confirm your request and delete the information we are not legally required to keep, then confirm once it is done.
If you interacted with us through Facebook or Instagram, you may also remove our access at any time in those platforms' settings, under Apps and Websites.
Cookies
Our site uses only the cookies needed to make it function, along with any set by analytics or advertising tools described above. You can block or delete cookies in your browser settings; the booking and availability features of the site should still work.
Security
Our site is served over an encrypted connection, and we limit access to booking information to the owners and the people who need it to prepare the home for you. No method of transmission over the internet is completely secure, so we cannot promise absolute security, but we take reasonable steps to protect your information.
Children
Our website is intended for adults booking travel. We do not knowingly collect personal information from children. Guests under 18 may of course stay at the property as part of a family booking made by an adult.
